Terms of Engagement

Version 2.0 · March 2026

Parties

Provider: UK School AI Policy Advisory Service, a trading name of Luke Thomas, sole trader registered in England.

Client: The school, trust, or organisation named in the engagement confirmation.

Service overview

The provider delivers a defined AI policy document pack to the client as a one-time project engagement. The exact deliverables depend on the tier selected.

What is included

Starter Pack (£495 excluding VAT if applicable)

  • Staff AI Acceptable Use Policy template
  • Student AI Acceptable Use Policy template
  • Assessment Integrity Policy template
  • AI Policy Checklist for School Leaders
  • Source register
  • 1 round of light revisions
  • Delivery targeted within 5 working days from kickoff

School Plus (£895 excluding VAT if applicable)

  • Everything in Starter Pack
  • 45-minute review call
  • 2 rounds of revisions
  • Leadership implementation notes
  • Governor or trustee summary note

Trust Pack (from £1,950 excluding VAT if applicable)

  • Trust-level document pack (Staff AUP, Student AUP, Assessment Integrity Policy)
  • AI Policy Checklist
  • Source register and delivery notes
  • Adaptation notes for individual schools within the trust
  • Review call included
  • 2 rounds of revisions

Trust pricing depends on trust size and scope. Starting point is £1,950 for up to 5 schools.

Templates are provided as editable documents for the client to review, adapt, and adopt through their own governance structures.

What is not included

This service does not include:

  • legal advice or legal sign-off
  • formal compliance certification
  • bespoke policy drafting beyond the defined deliverables
  • technical IT implementation or security support
  • cybersecurity assessment
  • tool procurement or vendor management
  • DPIA completion
  • direct handling of pupil data
  • ongoing monitoring or updates (may be offered separately in future)

What counts as a revision round

A revision round is a single consolidated set of comments or change requests from the client, returned within 10 working days of receiving the draft pack.

The provider will apply reasonable changes and return an updated version within 5 working days of receiving the revision request.

Out-of-scope changes (e.g. requests to add entirely new policy areas, significant restructuring, or content outside the original deliverable list) may be quoted separately.

Payment

Invoice issued on confirmation of engagement. Payment due within 30 days. Schools and trusts paying by BACS or purchase order is standard.

Delivery

Templates and materials are delivered via a shared Google Drive folder accessible to the client's nominated contact.

Documents are provided as editable Word files (.docx) and PDF reference copies.

Intellectual property

Templates are provided for the client's internal use. The client may adapt and use the templates within their school or trust.

The client may not resell, redistribute, or publish the templates externally without written permission.

Liability

The provider's total liability under this engagement is limited to the fee paid for the engagement.

The provider does not accept liability for:

  • decisions made by the school or trust on the basis of these templates
  • failure to adapt templates to local circumstances
  • regulatory changes that occur after the delivery date
  • any claim arising from use of the templates as legal advice (they are not legal advice)

Alignment with published guidance is not a guarantee of legal compliance.

Cancellation

Either party may cancel the engagement before delivery of the draft pack by giving written notice.

If the client cancels after the draft pack has been delivered, no refund is provided. If the client cancels before delivery, a full refund will be issued.

Governing law

This engagement is governed by the laws of England and Wales.
